With a long history of leadership in the paper industry, Pixelle delivers the most comprehensive portfolio of specialty papers to help you meet today's challenging demands.The HR Administrative Assistant is responsible for the administration of personnel and payroll transactions, HR support services, and the maintenance of HR documentation for the Stevens Point Mill. Individual must be able to combine HR functional knowledge with strong technical expertise of HR systems in order to drive process and system improvements, promote data integrity, and ensure delivery of accurate reporting of talent data to the business. Additional administrative and communications support as needed.Job DescriptionOrganize and maintain all confidential HR related files and databases. Including but not limited to, personnel, performance management, training, discipline, and grievance files.Process payroll changes for both bi-weekly and monthly payrolls.Utilize HRIS system for employee hiring/termination/status changes/etc.Supports Health/Benefits Administration, FMLA, Worker's Compensation and leave of absence process for all employees; including coordinating short-term and long-term disability payment for all employees.Assist with job postings, coordinating job interviews, travel arrangements, and facilitating background checks.Assist with completing the hiring process through data entry and assisting with onboarding and new hire orientation.Provide confidential administrative support and carry out project work using Word, Excel, and PowerPoint.Assist employees in obtaining the help or services employees require specifically with benefit questions.Assist with communications to employees regarding policies and interpretation of policies and procedures.Schedule face-to-face meetings with new management hires and key mill management.Manage employee service anniversary communication & celebratory meetings.Assist HR Generalist and HR Manager as needed.Create Stevens Point Mill newsletter and publish to intranet.Assist with various other employee relations programs including but not limited to, the United Way campaign and fundraisers, Wellness Committee, Safety University, annual golf outing, blood drive, employee outings, etc.Prepare weekly weekend work schedule.Operate office machinery including copier, projectors, laminators, label makers, spiral binding machine, etc.Order calendars and planners annually for all management personnel and create payroll calendars.Provide administrative and communications support to other departments as needed.Utilize SAP to create purchase requisitions and approve invoices for payment.Enter work notifications in SAP.Facilitate UPS shipments and mailings, distribute mail and affix postage to outgoing company mail.Perform monthly safety audits (KSAs, hazard recognition checks) and help support and facilitate the mill safety goals.Update and maintain bulletin boards and TVs.Update organizational charts and Stevens Point Mill phone list.Communicate flag lowering orders and other information to all employees via email.Order office supplies and other items using purchasing card and reconcile statements monthly.Order food for meetings using travel card and complete expense reports.Promote and participate in the planning and implementation of communication strategies which deliver accurate, consistent and timely information on business issues and employee concerns.QualificationsAssociate's degree or equivalent work experience (3 years) is preferredExcellent PC skills (Word, Excel, PowerPoint, Publisher)Knowledge of and experience using HR systems - HRIS, applicant tracking systems & performance and development systemsStrong organizational and prioritization skills as well as the ability to balance several priorities from multiple sources requiredHigh level of problem solving and decision-making skillsAble to maintain strict confidentialityMust have strong initiative and ability to work independentlyExcellent interpersonal, communication, and organizational skillsAbility to balance high volume work in a fast-paced business environmentAdditional InformationAll your information will be kept confidential according to EEO guidelines.
